Position Overview

The Department of Mathematics & Statistics in the Faculty of Science is currently seeking a Full-time Regular Manager, Administrative Services.

The purpose of the position is to provide leadership in and manage the administrative and budget operations of the Department of Mathematics and Statistics; provide responsible advisory and operational support to the Department Head; lead the provision of service and support to faculty, staff, undergraduate and graduate students within the Department; serve as advocate for the Department, effectively engaging in the shared services, centralized and change processes, so that the Department's needs and requirements are highlighted and taken into consideration. The incumbent will reinforce and lead in accordance with the University and Faculty of Science Mission Statement and commitment to teaching, research and service. The overall objective is to have an efficient, well-organized Department, that provides quality service to its users and at the same time provide a quality work environment for the staff.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Providing strategic expertise and leadership, within the context of University of Calgary and Faculty of Science principles and systems, to clients within the Department, to meet institutional and client needs
  • Managing the implementation and administration of University of Calgary and Faculty of Science programs, policies, systems, processes and procedures and Departmental guidelines, ensuring consistency across the University of Calgary as a whole
  • Providing and managing operational, administrative and transactional services for the Department
  • Ensuring the retention of documentation and records adheres to the Freedom of Information and Protection of Privacy Human Resources Guide, U of C Master Records Retention Schedule and the Collective Agreement(s)
  • Understanding and contributing to the Department business plans and corresponding people and organizational impacts by providing both strategic and operational expertise
  • Influencing the design of Faculty wide programs to ensure the business needs of the Departments are met and managed
  • Identifying change opportunities and initiatives at the Department level; managing change processes; consulting with appropriate internal partners to facilitate change processes
  • Assisting the Department in determining if the Department is structurally and functionally appropriate and is utilizing the best use of resources
  • Managing the Department staff and leads staff in the effective and innovative implementation of services and processes to achieve greater efficiencies, productivity and customer service
  • Managing and oversees the recruitment and selection activities of the Department, as required
  • Planning, organizing, managing and evaluating the work of the Department staff and participating in effective and consistent performance management practices
  • Overseeing all academic processes (e.g., FTPC, tenure, promotion, sessional appointments, etc.), ensuring all required documentation is provided by the various deadlines
  • Administering the Department Budget, keeping the Department Head advised and well informed of administrative and budgetary matters

Qualifications / Requirements:

  • Completion of post secondary education
  • 5 years' related experience in a complex business (including budget, space and staffing needs) and 3 years management / supervisory experience (equivalency will be considered)
  • Knowledge of strategic and operational planning as well as financial understanding
  • Knowledge of best practice in resources allocation, including human, space and budget
  • Knowledge of U of C budget systems and processes. and/or Experience with U of C core business administration system (BAS)
  • Ability to function independently at a strategic level
  • Innovativeness/Initiative / Problem Solving
  • Demonstrated leadership skills
  • Demonstrated flexibility and change management experience
  • Ability to perform consulting and business partnering activities
  • Supervising, Coaching and mentoring of staff
  • Research and Analytical ability
  • Sound judgment and decision making
